1. General Instructions for Online Submissions
  • All manuscripts must be submitted via the (Spinghar Journal of Biomedical Sciences) SJBS online submission portal. Manuscripts sent by email will not be processed.
  • First-time users must create an account to access the submission system.
  • The submitting author must be the corresponding author and is responsible for communication throughout the peer review process.
  • A complete submission includes:
    • Main manuscript (Word format preferred)
    • Cover letter
    • Figures and tables embedded within the manuscript
    • Supplementary material (if applicable)
    • Author commitment and conflict of interest form.

 

  1. Editorial and Peer Review Process
  • All submissions undergo initial editorial screening for scope, originality, and format compliance.
  • Manuscripts that meet the journal’s criteria are then sent for double-blind peer review by at least two independent reviewers.
  • Authors may be requested to revise their manuscript in point by point response to reviewers' comments. Final decisions are made by the Editor-in-Chief.
  • The average time from submission to first decision is 4–6 weeks.

 

  1. Open Access Policy

SJBS is an open access journal, providing unrestricted and free access to all published articles. Authors retain the copyright of their work, and all content is published under the Creative Commons Attribution (CC BY 4.0) License. This allows others to distribute, remix, and build upon the work, even commercially, as long as proper credit is given.

 

  1. Copyright and Licensing

By submitting to SJBS, authors agree to publish under the CC BY-NC 4.0 license (Creative Commons Attribution-Non-Commercial 4.0 International Public License as currently displayed at http://creativecommons.org/licenses/by-nc/4.0/legalcode). This license permits:

  • Free use, distribution, and reproduction in any medium.
  • Attribution to the original authors and source.
    Authors retain copyright but grant SJBS the right of first publication.

 

  1. Authorship Policy

SJBS adheres to the authorship criteria defined by the International Committee of Medical Journal Editors (ICMJE). Each listed author must have made substantial contributions to all of the following:

  1. Conception or design of the work; or the acquisition, analysis, or interpretation of data.
  2. Drafting or critically revising the manuscript.
  3. Final approval of the version to be published.
  4. Accountability for all aspects of the work, ensuring integrity and accuracy.

Contributors who do not meet all four criteria should be acknowledged in the Acknowledgment section.

 

  1. Plagiarism Policy

Spinghar Journal of Biomedical Sciences maintains a strict zero-tolerance policy against all forms of plagiarism, including but not limited to:

  • Copying text or ideas without proper attribution
  • Self-plagiarism or duplicate publication
  • Data fabrication or falsification
  • Manipulation of images or figures

All submitted manuscripts undergo plagiarism screening using iThenticate, a leading plagiarism detection software. Manuscripts found to have significant overlap with previously published work or other sources will be rejected immediately.

If plagiarism or ethical misconduct is detected after publication, the journal will take appropriate actions, which may include:

  • Retraction of the published article
  • Notification to the authors’ affiliated institutions and funding bodies
  • Banning the authors from future submissions

Authors are responsible for ensuring the originality of their work and proper citation of all sources.

 

  1. Format for Publication

7.1 General Manuscript Structure

Your manuscript should be organized in the following order:

  1. Title Page
  2. Abstract and Keywords
  3. Introduction
  4. Materials and Methods
  5. Results
  6. Discussion
  7. Conclusion
  8. Acknowledgments
  9. References
  10. Tables and Figures (embedded in the text)
  11. Supplementary Material (if any)

 

7.2. Title Page

  • Title: Concise, descriptive, and informative (no more than 20 words). Avoid abbreviations.
  • Author names: Full names with academic degrees (e.g., MD, PhD).
  • Affiliations: Department, Faculty, institution, city, and country.
  • Corresponding author: Include full contact details (email, phone number, postal address).
  • Running title: A short version of the title (up to 50 characters).
  • Declarations: Funding sources, conflicts of interest, and acknowledgments (if applicable).

 

7.3. Abstract

  • Provide a structured abstract (for original research articles) of 250-300 words
  • Use the following subheadings:
    • Background
    • Objective
    • Methods
    • Results
    • Conclusion
  • Abstracts should be self-explanatory and free of references, abbreviations, and citations.

 

7.4. Keywords

  • Provide 3 to 6 keywords below the abstract.
  • Use terms from the Medical Subject Headings (MeSH) where possible.

 

7.5. Introduction

  • Briefly describe the background and rationale for the study.
  • Clearly state the study objectives or hypotheses.
  • Avoid extensive literature reviews or detailed methodology here.

 

7.6. Materials and Methods

  • Provide sufficient detail to allow replication.
  • Include:
    • Study design (e.g., randomized controlled trial, observational study)
    • Ethical approval statement with committee name and approval number
    • Participant selection criteria and sample size
    • Data collection procedures
    • Equipment, materials, and reagents used (with manufacturer details)
    • Statistical analysis methods (include software and version)
  • Mention patient consent where applicable.

 

7.7. Results

  • Present findings clearly and logically.
  • Use tables and figures to summarize data; refer to them in the text.
  • Avoid repeating all data in text if shown in tables/figures.
  • Report statistical significance with p-values or confidence intervals.

 

7.8. Discussion

  • Interpret your results in the context of existing knowledge.
  • Discuss the implications, limitations, and possible future research directions.
  • Avoid simply restating results.

 

7.9. Conclusion

  • Provide a concise summary of the main findings.
  • Avoid overgeneralization or unsupported claims.

 

7.10. Acknowledgments

  • Mention individuals or institutions that contributed but do not meet authorship criteria.
  • Disclose any technical assistance or funding sources.

 

7.11. References

  • Use Vancouver referencing style (numeric order as they appear in the text).
  • Cite references in the text by bracket numbers (e.g., “as shown previously [14]”).

7.12. Tables and Figures

  • Embed tables and figures in the manuscript near their first citation.
  • Each table/figure should have a clear title and legend explaining abbreviations or symbols.
  • Figures should be high resolution (minimum 300 dpi).
  • Number tables and figures sequentially (Table 1, Table 2, Figure 1, etc.).
  • Provide permission for any copyrighted material.

 

7.13. Supplementary Material

  • Upload as separate files during submission.
  • Use common formats (PDF, Excel, video, etc.).
  • Clearly label each file and refer to it in the manuscript.
  • Supplementary files will be published online but not edited by the journal.

 

7.14. Formatting Guidelines

  • Use 12-point Times New Roman
  • Double-space the entire manuscript, including references and tables.
  • Set 1-inch (2.5 cm) margins on all sides.
  • Use page numbers on each page.
  • Use standard abbreviations and define them on first use.
  • Avoid excessive use of bold or italics; use them only for emphasis or scientific notation.

 

7.15. Language

  • Manuscripts must be written in clear, concise English.
  • Authors for whom English is not a first language are encouraged to use professional editing services.

 

  1. Use of Artificial Intelligence (AI) Tools

In accordance with COPE (Committee on Publication Ethics) guidelines:

  • AI tools (e.g., ChatGPT, Grammarly, etc.) may be used to enhance language or grammar.
  • AI cannot be listed as an author.
  • Authors must disclose any use of AI tools in the Acknowledgments section, specifying the tool and how it was used.
  • The authors are responsible for the content, accuracy, and originality of their manuscript, regardless of AI assistance.

 

  1. Ethics Committee Approval and Patient Consent

All research involving human participants, human tissue, or human data submitted to Spinghar Journal of Biomedical Sciences must comply with recognized ethical standards. Authors are required to obtain approval from a relevant Ethics Committee or Institutional Review Board (IRB) prior to conducting the study.

A clear statement regarding ethics approval must be included in the manuscript, specifying:

  • The name of the approving Ethics Committee or IRB
  • The approval reference number or code
  • Confirmation that the study was conducted in accordance with the ethical principles outlined in the Declaration of Helsinki or equivalent ethical guidelines.

Example statement:
“This study was approved by the Ethics Committee of [Institution Name], approval number [XXXX]. All procedures were conducted in accordance with the ethical standards set forth in the Declaration of Helsinki and its subsequent amendments.”

 

Patient Consent:
For studies involving identifiable human subjects, authors must obtain written informed consent from all participants prior to inclusion in the research. Consent should also be obtained for publication of any personal or clinical details, including images, that could potentially identify a participant.

A statement confirming informed consent must be included in the manuscript.

Example statement:
“Written informed consent was obtained from all participants before enrollment in the study.”
Or for case reports or clinical images:
“Written informed consent was obtained from the patient for publication of this report and accompanying images.”

 

Note to Authors:
Failure to provide adequate documentation of ethics approval and patient consent may result in rejection or delayed processing of the manuscript. The journal reserves the right to request copies of ethics approval letters or consent forms during the review process.

 

  1. Competing Interests

Authors must declare any conflicts of interest—financial or personal—that could influence their work. If none exist, please state: “The authors declare no competing interests.”

 

  1. Data Availability

Authors are encouraged to make the data supporting their findings publicly available or provide clear instructions on how to access the data. A Data Availability Statement must be included in all research articles.

Examples:

  • "The data supporting the findings of this study are available from the corresponding author upon reasonable request."
  • "All data generated or analyzed during this study are included in this published article [and its supplementary files]."

 

  1. Publication Ethics

SJBS is committed to upholding high standards of publication ethics and follows the guidelines of COPE and ICMJE. Misconduct such as duplicate submission, falsified data, ghost authorship, or unethical experimentation will result in immediate rejection and possible blacklisting.

Authors, reviewers, and editors are expected to adhere to ethical standards regarding:

  • Research integrity
  • Peer review confidentiality
  • Proper citation and acknowledgement
  • Responsible reporting of results
